For dietitians

They ask how much, you send the link, and they vanish.

They meant to book. Then nobody followed up, because you were in a session, then writing notes, then answering the inbox at nine at night. Same with the client who came twice and hasn’t been back. Nobody noticed, because noticing is one more job, and it’s yours.

One inquiry, start to finish

Right now, you’re the one holding every follow-up together.

  1. 01You

    An inquiry comes in mid-session

  2. 02You

    Open ChatGPT later

  3. 03You

    Explain your packages, again

  4. 04You

Say how you like to sound

  5. 05AI

    Drafts a reply

  6. 06You

Make it sound like you, not a brochure

  7. 07You

Remember to follow up next week

One of those seven steps is the AI. The other six are still you.

ChatGPT can write a friendly email. But you are still the one explaining, remembering and following up , and step seven is the one that quietly doesn’t happen.

The reframe

The problem isn’t that AI isn’t smart enough.

Think about a good assistant on their first day. They’re smart and willing, and still not much help, because they don’t know your packages, who you see and who you refer out to, or the words you’d never use with a client. A few weeks in, that changes. They stop waiting to be told and start saying things like:

Then they start saying
  • “Tuesday’s inquiry hasn’t had a second email.”
  • “Your newsletter is due on Friday.”
  • “Here’s what needs your attention today.”

ChatGPT is already smart. What it’s missing is everything a good assistant would learn about your practice.

What changes

Imagine if it already knew your practice.

Imagine your AI already knows your services and packages, who you see and who you refer out to, your values and the words you do and don’t use, and how you sound in an email.

Your reply to a consult inquiry is written once, in your voice, ready to send. Your follow-up emails are ready for when someone goes quiet. Check-in notes for clients who haven’t been back are written, for you to read and send. It helps with the admin, not nutrition advice.

Instead of beginning with

“Let me explain my packages again…”

You can begin with

“What needs my attention today?”

At that point you’re not just asking ChatGPT questions. You’re beginning to build an assistant that knows your practice.

Build Your First AI Employee for Dietitians

Build an AI that understands your practice, writes in your voice, and helps you keep track of who needs a reply.

This isn’t a course about AI. You build it, a step at a time, for your own practice.

Every step, the same rhythm

Understand

One useful idea, explained in plain English.

Build

Do it in your own AI, for your own practice. There’s a copy-ready prompt at every step, and it asks you one question at a time, so you never start from a blank box.

Check

A quick check that it worked, so each part is solid before the next one depends on it.

All you need is your laptop and the Claude or ChatGPT desktop app on a paid plan, about $20 a month. No new practice software. Every piece is shown first on a made-up practice, Bramblewood Nutrition, so you see it built before you build yours.

The three stages

One AI, getting more useful at every stage.

Go at your own pace or with the live cohort. Either way it comes together in three stages, and nothing gets thrown away: each builds on the last, and everything you build is yours to keep.

Stage 01

It finally understands your practice.

Solves the “Why do I keep explaining myself?” problem.

Your AI learns your practice: your services and packages, who you see and who you refer out to, your values, and the words you use and avoid. It reads that before it writes anything.

You keep: a written description of your practice your AI can read, including your values and wording.

Stage 02 · builds on stage 1

It does things your way.

Solves the “Why does it never sound like me?” problem.

Your reply to a consult inquiry is written once, in your voice. You set up your follow-up emails once, friendly and ready for when someone goes quiet. Then your welcome emails, written once instead of retyped for every new client.

You keep: a follow-up sequence and a welcome series you can use again, and a simple habit for keeping prices and packages current.

Stage 03 · builds on stages 1 and 2

It tells you where to look.

Solves the “Why do I always have to remember?” problem.

Each week it reminds you to pull the list of clients who haven’t booked, from your practice software or your calendar, with kind check-in notes ready to go. Each morning, one page of what’s waiting: inquiries to follow up, the newsletter, a referral letter. Counts and tasks, not client names.

You keep: a weekly reminder, with your check-in notes ready, that comes up on its own schedule, a morning page of what needs attention, and a way to build the next one yourself.

What you keep

This isn’t a course you watch. You’re building something you keep.

Six pieces, built in order. Each depends on the one before it, which is why the result works as one system rather than six separate tricks.

  1. 01What your practice is
  2. 02What it’s allowed to look at
  3. 03How you like work done
  4. 04Keeping things up to date
  5. 05What needs your attention
  6. 06A few things on a schedule

You decide what your AI is allowed to see before anything gets connected.

For a practice, the course recommends not connecting the mailbox clients write to. Use a separate admin mailbox, or paste in a few emails with client details removed. It helps with the admin, not nutrition advice, and you review anything before sending it. Your existing privacy and professional obligations still apply.

Who made it

I’m building my own company this way.

This is the practical system I’ve been building for myself, translated for people who run a business and aren’t technical. A registered dietitian was in the first group I taught it to, this September, and this edition is that course rewritten around a private practice like theirs. Before this, about twenty years designing software and products, including work at ServiceNow, Reddit and GOV.UK.

I’m not interested in teaching you a pile of prompts. I want you to leave with something working inside your practice.

From the first group

These little things were time consuming, and I did everything myself. And now I just ask Chat to do it while I’m doing something else. And then I just look at the draft, it’s ready to go.

The investment

Two ways to build the same thing. You’re not paying for lectures about AI. Either way, you spend the time building the system for your own practice, and each part should actually work before you move on.

What both options include

  • The full course, written for dietitians in private practice. Each step is an idea, then you do it in your own AI, then a check that it worked.
  • Two chapters only this edition has: turning inquiries into booked consults, and checking in with clients who’ve stopped coming.
  • Copy-ready prompts at every step. They ask you what they need, one question at a time.
  • Setup built in: getting the app, making your practice folder, and choosing what your AI may read.
  • Your practice lives in files you own. Move from ChatGPT to Claude, or to whatever comes next, and it comes with you.
  • All future updates to the course.

Questions

Before you decide

Will it give my clients nutrition advice?

No. It helps with the admin, not nutrition advice. It drafts the emails, notes and routines around your practice, and you review anything before it’s sent.

What about client privacy and HIPAA?

This isn’t legal or compliance advice, and we don’t make compliance claims. What the course does is have you choose what your AI may read before anything is connected. For a practice it recommends a separate admin mailbox, or pasting in a few emails with client details removed, rather than the mailbox clients write to. Your existing privacy obligations still apply.

Won’t clients be able to tell it’s ChatGPT?

It learns from your own writing and your own wording rules, so it starts from how you sound. And nothing reaches a client until you’ve read it and decided to send it.

Does it work with my practice software?

It doesn’t need to plug into it. It writes the wording; you send from Practice Better, Healthie or whatever you already use, and the list of who to check in with stays there.

I’m not a tech person. Is this too advanced for me?

No. If you’ve used AI for an email or a question, you have enough experience to start. It’s designed for practice owners who aren’t technical, and you don’t need to write code.

What if I fall behind?

On your own, you can’t: it waits where you left off. In the live cohort every session is recorded, and you have the full course to catch up with.

Will you build the whole thing for me?

No. You build it, with help when you get stuck, so you understand and own the system. If you later want something bigger designed and set up for you, that’s a separate conversation.
